Know your products and services
A first step to providing excellent customer service begins with knowing your products and services. This applies to all staff, not just customer service and customer-facing staff. Make sure all staff are equipped with the depth of knowledge, and level of training required to answer any customer query to ensure that all customers leave very satisfied. Set up a customer service charter which clearly outlines the high standards of service you expect all staff to provide.
Build great relationships with your customers
Promote a positive, helpful and friendly environment which will ensure customers leave with a great impression of your company – and remember to say thank you! Ensure all staff treat customers with respect and courtesy at all times. A happy customer will return often and will be more likely to recommend you.
Learn everything about your customers
Really spend time understanding your customer’s background/business, their needs, their goals, what they think, their preferences. Match the solutions you can provide which will solve their issues and in the case of b2b, to improve your client’s profitability and help move their business forward.
Listen to your customers
Ask your customers for feedback. Create a customer service charter. Regularly survey your customers to make sure you are delivering great service. Use the feedback from customer surveys, feedback forms and questionnaires to make changes and improvements. Always listen and act on any customer feedback and communicate back to the customer the outcome of their feedback.
Be proactive and responsive
Provide a personal response customised to your customers’ queries and issues. Keep in regular contact with your customers to update them of progress, and always get back to a customer with an answer to their query. Always respond quickly to all enquiries. Customers will always appreciate your quick response, even if it is simply to say you are looking into the matter and you will be back in touch.
As a final tip, always give customers more than they expect. Your customers are more likely to feel loyalty towards a company which has exceeded their expectations, both in terms of customer service and the products and services that they have purchased or used.
Furthermore, be flexible in your product and service offerings. Customers will truly appreciate the company which can think outside the box and sees the bigger picture who can come up with innovative solutions. Give consideration to special requests, especially to regular customers.
